Terms of Use.

The rules for using backpass.org and the BackPass portal, for Local Authorities and donors.

Last updated: 31 October 2026

1. About these terms

These terms apply when you use backpass.org and the BackPass portal. BackPass is run by BACKPASS LIMITED (company number 16960004), 59 Church Road, Frampton Cotterell, Bristol, BS36 2NJ (“we”, “us”).

By creating an account or using the portal, you agree to these terms on behalf of yourself and your organisation. If you don’t agree, please don’t use the portal.

2. What BackPass does

BackPass lets donors (venues, clubs and other partners) give free tickets, and lets Local Authorities allocate those tickets to young people aged around 10 to 25 who are in care or have left care. BackPass is free to use. We do not sell tickets.

3. Accounts

  • Portal accounts are only for staff of approved Local Authorities and approved donor organisations. We decide who is approved.
  • You must use your work email address and keep your sign-in details private. Don’t share your account.
  • Tell us straight away at contact@backpass.org if you think someone else has used your account.
  • Your organisation is responsible for removing access when you leave. Let us know and we will close the account.

4. If you work for a Local Authority

  • Only allocate tickets to young people your Local Authority supports, and who are in care or have left care.
  • Check that each event is suitable for the young person, including age ratings, accessibility and travel, before you allocate it. Donors give event details, but your Local Authority is responsible for deciding what is suitable and safe.
  • Follow your own Local Authority’s safeguarding and data protection policies.
  • Only add a recipient email address when it is needed to get the ticket to the right person, and when you are allowed to share it.
  • If a ticket can’t be used, release it as soon as you can so someone else can go.

5. If you work for a donor or partner

  • Only add tickets you have the right to give away, and make sure they are valid for the event.
  • Give accurate event details, including date, time, venue, age rating and how to use the ticket.
  • Tell us as soon as possible if an event is cancelled or changed.
  • You are responsible for the event itself, including the safety of the venue, as you would be for any ticket holder.
  • Have your own safeguarding policy and a named contact for events where BackPass ticket holders attend, and tell us about any incident involving a BackPass ticket holder.
  • Welcome BackPass ticket holders like any other guest. Don’t single them out or identify them as care-experienced.
  • You agree that we can show your organisation’s name, logo and event details on BackPass and on our public website. You can ask us to stop at any time.
  • Don’t contact young people directly or ask for their details. Any contact goes through BackPass or the Local Authority.

6. Tickets

  • Tickets on BackPass are free. They must not be sold, swapped for money or used for any commercial purpose.
  • We can’t guarantee that any ticket, event or number of tickets will be available.
  • Tickets expire after the event. Unused tickets may be returned to the donor.

7. Acceptable use

You must not:

  • use BackPass for anything unlawful, or in a way that could harm a young person;
  • try to access information or accounts you are not allowed to see;
  • upload anything offensive, misleading, or that you don’t have the right to share;
  • interfere with how BackPass works, including by testing its security without our written permission;
  • copy or scrape information from the portal.

8. Suspending accounts

We can suspend or close an account, or remove tickets or events, if we reasonably believe these terms have been broken, or if we need to protect a young person, another user or BackPass. We will tell you why unless the law, or a safeguarding concern, means we can’t.

9. Our responsibility to you

We work hard to keep BackPass running and accurate, but we provide it “as is” and can’t promise it will always be available or free from errors. Events are run by donors, not by BackPass, and we are not responsible for what happens at an event.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for anything else that cannot be limited or excluded by law.

Subject to that, and because BackPass is provided free of charge:

  • we are not liable for any loss of profit, revenue, data or goodwill, or for any indirect or consequential loss; and
  • our total liability to you and your organisation for everything arising out of or in connection with these terms, whether in contract, tort (including negligence) or otherwise, is limited to £100.

10. Your personal information

Our Privacy Notice explains how we use personal information. Where we process information on behalf of a Local Authority, the data processing agreement between us and that Local Authority also applies.

11. Intellectual property

We own BackPass, including its design and content, except for content donors and others give us. You keep ownership of what you upload, and you give us permission to use it to run BackPass.

12. Changes to these terms

We may update these terms. If a change is important, we will email you before it applies. If you keep using BackPass after that, you accept the new terms.

13. Law

These terms are governed by the law of England and Wales, and the courts of England and Wales can decide any dispute.
